About this policy
This policy explains how Digimate ("we", "us") collects, uses, stores and shares personal information. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
By using this website or our services, you agree to this policy. If you have a question about it, email hello@digimate.au.
Information we collect
We only collect what we need to respond to you and deliver our services. This may include:
- your name, email address, phone number, business name and website
- details you give us in an enquiry, audit request, phone call or email
- information needed to deliver a project, such as access to your website, ad accounts, analytics or CRM
- billing details such as your business address and ABN
- technical information about your visit to this website, such as your IP address, browser, device and the pages you view
We do not collect sensitive information (such as health or financial account details) unless it is needed for a service and you have agreed.
How we collect it
Most information comes directly from you: through forms on this website, by email, by phone or in meetings. Some technical information is collected automatically through cookies and server logs. We may also receive information from advertising, analytics and review platforms connected to your accounts, or from people who refer you to us.
How we use it
We use personal information to:
- reply to enquiries and prepare website audits and quotes
- deliver, manage and report on the services you engage us for
- send invoices and keep business records
- let you know about changes to our services or this policy
- improve this website and our services
- meet our legal obligations
We only send marketing emails if you have agreed to receive them, and every email includes a way to unsubscribe.
Information we handle for our clients
Some of our services, such as AI receptionists, CRM setup, email marketing and advertising, involve handling information about our clients' customers. In those cases we act on our client's behalf and use that information only to provide the agreed service. Questions about that information should go to the business you dealt with.
AI tools
We use AI tools in our work, including for writing, analysis and automation. We do not enter your personal information into AI tools that use it to train their public models. Where a project involves personal or confidential information, we use business-grade services with training turned off, or Local AI that runs on hardware you control.
Who we share it with
We do not sell personal information. We share it only when needed to run our business or deliver a service, with:
- service providers such as website hosting, email delivery, cloud storage, accounting, CRM and AI providers
- advertising and analytics platforms, when you engage us to run campaigns or tracking
- professional advisers such as accountants and lawyers
- government bodies or others when the law requires it
We require these providers to protect personal information and use it only for the purpose we provide it.
Storage outside Australia
Some of our providers store data outside Australia. This website is hosted in Singapore, and some cloud, email, advertising and AI services we use store data in the United States and other countries. We take reasonable steps to choose providers that protect personal information to a standard similar to the Australian Privacy Principles.
Cookies
This website uses cookies. Essential cookies make the site work. Other cookies, such as those for analytics or advertising, are only set if you accept them in the cookie banner. You can change your choice at any time using the cookie icon in the bottom corner of any page, or block cookies in your browser settings.
Security and how long we keep it
We take reasonable steps to protect personal information from misuse, loss and unauthorised access. These include access controls, two-factor authentication and secure password storage. We keep information only as long as we need it, or as long as the law requires (for example, tax records are kept for five years). After that we delete it or remove anything that identifies you.
Access and correction
You can ask to see the personal information we hold about you, or ask us to correct it, by emailing hello@digimate.au. We will respond within 30 days. If we cannot give you access, we will explain why.
Complaints
If you think we have mishandled your personal information, email hello@digimate.au with the details. We will respond within 30 days. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
